Guidelines for Poster Presentations 2025

Instructions for Poster Presentations

Thank you for offering to give a poster presentation at GuardIAS 2025 13th-14th November 2025. Please follow the guidelines below for preparing and submitting your poster presentation.

Poster Preparation Guidelines

  • Posters can be either portrait or landscape in orientation.
  • Posters should provide the name of the presenter(s) and their affiliation and contact details.
  • Posters should include a short description of the research theme and methods used as well as results and the current status of the research as well as the expected outcomes/output.
  • Pictures, photographs and diagrams may be included.
  • Poster presenters are encouraged to include on their poster a website address (URL)or QR Code where conference delegates can find further information about their research.
  • Posters will be available on a separate platform for delegates to view during the conference.
  • Poster files should be in MS Office PowerPoint format ONLY. Use the filename format ‘FirstAuthorSurname FirstAuthorInitial_poster’ e.g. Murphy_J_poster.ppt

Two Minute Oral Poster Presentation Guidelines

  • If you wish to submit a poster you will also be required to give a two-minute presentation on your poster.
  • The oral presentation can be supported by the poster on a slide or any other slides you wish to use.
  • As the time allocation for poster presentations is only two minutes with three minutes for questions at the end, in order to avoid any technical difficulties and ensure the schedule is adhered to we ask that you pre-record a video of your two-minute presentation whereby the slide or slides you have created are displayed as you speak. You can use any software to do this but make sure your file is saved in “MP4” format.
  • You must then be available live at the poster session to answer questions after your presentation is played.
  • Do not exceed the 2 minute time allocation – the 2 minute time will be strictly enforced, we will not use any videos over 2 minutes.
  • Video files should be saved in MP4 (video) format. Please compress your video file as necessary or use a free file transfer for example “WeTransfer”.
  • Video files should be saved as FirstAuthorSurname FirstAuthorInitial_poster_presentation e.g. Murphy_J_poster_presentation.mp4
  • The pre-recorded presentation should be submitted along with the poster by 5pm Friday 7th November 2025 to vepanov@gmail.com.

Looking forward to seeing you virtually in November 2025!
